Role/Position Definition:  The Human Resource Supervisor is responsible for performing day-to-day HR duties on a professional level and works closely with the Corporate Director of Human Resources to identify functions and processes in need of improvement.  Identifies risks and elevates those concerns in a timely manner to the Director of Human Resources.  Performs a variety of clerical duties including typing correspondence, answering telephone inquiries, maintaining filing systems, scheduling appointments, preparing reports, and referencing policies for Employees and Managers. 

Duties and Responsibilities:

  • Facilitates the Recruitment and On-Boarding process to include:
  • Processing of position requisitions
  • Posting jobs internally/externally
  • Collects, reviews, organizes and logs incoming resumes and applications
  • Works with hiring manager to identify qualified candidates
  • Pre-screens and schedules interviews in coordination with hiring manager
  • Sends rejection letters to candidates
  • Works with hiring manager and Director of Human Resources to establish pay rates and makes job offers
  • Assures accurate and timely processing of new employees; verifies completion of documents, provides authorizations for pre-hire physical exams, processes criminal background checks, completes verification of employment, develops personnel file, schedules orientation, sends IT access requests, discusses start date with Managers, creates ID badges, enters new hire data into appropriate databases including ADP, etc.
  • Coordinates new employees’ attendance and prepares material for new hire orientation
  • Assists managers in development/revision of job descriptions.
  • Provides the Director with clerical support for employment and employee relations activities.
  • Uses the personal computer and various software applications (Word, Excel, PowerPoint, ADP, Paychex, etc.) to prepare spreadsheets, reports, correspondence, forms and improve efficiency of work performed. Also enters employee data into the Human Resources databases.
  • Receives and screens all personal/electronic/telephone inquiries, determines needs, troubleshoots and resolves inquiries within the scope of the Generalist role. References and explains policies for employees.  Refers unusual or complex questions to the Human Resources Director.
  • Monitors status of required employee licenses/certifications, communicates with managers regarding their employees’ status and processes renewed licenses/certifications.
  • Maintains record keeping and filing systems in accordance with departmental protocols, applicable laws and regulations. Gathers information for creating files, retrieves information in files for use in correspondence and reports, and purges non-relevant information from files.
  • Drafts and sends correspondence to employees such as benefit eligibility notifications, Annual TB notifications, HR policy change memos, license/certification expiration notices, Nurse Aide renewal letters, VOE letters, etc.
  • Opens and sorts incoming mail and processes as appropriate.
  • Processes injury reports and corresponds with worker’s compensation carrier when necessary.
  • Gathers and organizes data for various reporting purposes including payroll budgeting, staffing costs, 401k reporting and Quality Assurance monitoring.
  • Processes payroll as a backup to the Human Resources Director.
  • Presents benefit information including 401k to employees and processes enrollments.
  • Responds to FMLA request by providing employees with appropriate forms and policies. Forwards completed FMLA requests to Director for approval.
  • Facilitates Customer Service and similar employee education/training programs.
  • Facilitates employee recognition programs.
  • Coordinates with Marketing regarding employee discounts and programs.
  • Assists in maintaining compliance with State and AOA standards and assists with survey process.
  • Completes Verification of Employment requests and generates letters when requested.
  • Conducts Exit Interviews and termination processing.
  • Processes Tuition and Education Reimbursement requests.
  • Oversees Paycheck distribution.
  • Performs all other duties as assigned.

Job Requirements

Qualifications/Position Requirements:

1. Education/Experience

  • Associate’s degree required.
  • Bachelor’s degree in Human Resources or related field strongly preferred.
  • 1 year+ of Human Resources Supervisor experience preferred.
  • Experience in a Healthcare setting preferred.

 2. Knowledge, Skills and Abilities

  • Strong knowledge of computers including MS Office.
  • Ability to work at a moderate to high pace while ensuring thoroughness and accuracy of work.
  • Ability to research, compile, analyze and interpret data.
  • Must possess communication skills suited to a wide variety of audiences in both written and verbal capacities.
  • Ability to recognize and process confidential and sensitive information appropriately.
  • Must possess strong organizational skills.
  • Should be familiar with general office equipment such as fax, scanner, copier, postage machines and multiple line phones.
